Terms and Conditions for ASME Section Events
1. Consent to Terms and Conditions
By registering for this Event, you confirm that you have read the terms and conditions described in this registration form (Terms) and consent and accept its terms.2. Rules for Registration and Participation
Registration & Eligibility: Event attendees must complete registration through the official Event registration website. Upon successful registration, you will receive a confirmation at the email address provided during registration. ASME reserves the right to approve, deny, cancel, or revoke any registration at any time, including terminating or modifying any discount or promotional offer.Group Registrations: Individuals registering multiple people through the online registration platform, represent and warrant that each registered participant has been informed of their registration, and that they have obtained their agreement to these Terms, and agree to ASME’s Privacy Policy noted here: https://www.asme.org/privacy-and-security-statement
Event Check-In: Attendees will be asked to present a Government-issued photo identification at registration to check-in to the event. Alternatively, Attendees may be asked to scan a QR code for check-in to validate their registration. Individual registrants may only check in themselves. Name tags, badges and other event materials will be provided to the registrant upon completion of the check-in process.
Student Identification: All Students must present a valid student photo identification that includes an ID number and “Valid Thru” date. Student identification will be checked onsite at registration. International student identification must be presented in Roman alphabet. If an ID is not in this format, students may present a letter from their university on official letterhead as a second form of ID. Failure to produce a valid student identification will result in the transfer of the student registration to a regular member or non-member registration category. No exceptions will be made.
Guests: All guests accompanying an attendee must be registered, pay the advertised fee, and wear a guest tag/badge.
Badges: Event badges may contain RFID or similar technology to track attendance and participation (including visiting booths and attending sessions). By allowing your badge to be scanned, you hereby authorize the operator of the badge scanner or similar technology to collect such information. Aggregate data may be shared with sponsors, but personal identifiable information (PII) will only be shared in accordance with our Privacy Policy. Event attendees and registered guests must always wear their badge/name tag. For safety reasons, please remember to remove your badge when you are outside of the events and facilities. Registration badges should be worn only by the named participant. Transfer of badges to another individual is not permitted.
Unauthorized Solicitation: Unauthorized solicitation at the event is strictly prohibited. Any company or representative of a supplier who is not an exhibitor and is observed to be soliciting business in any area of the Event venue may be deemed inappropriate by ASME event management and required to leave the Event immediately.
Alcohol Policy: All attendees must comply with ASME Society Policy 4.13, Alcohol and Controlled Substances.
Underage Persons: Any child under 18 must be accompanied by a parent, guardian or teacher and must be registered for the event as a guest. Should a child take part in any event activity, the child will be required to comply with height and safety requirements prior to engaging in the activity. If you are registering a child for this event, you will be required to complete a Release Form for Minors.
Tours, Workshops, Competitions, Community Events: By registering, you understand and voluntarily accept the specific, inherent risks, including but not limited to personal injury, illness, transportation hazards, property loss, or exposure to communicable diseases when attending an Event. You also acknowledge that you are executing a Waiver of Liability intended to prohibit the institution by you or any of your heirs of legal proceedings against The American Society of Mechanical Engineers, its officers, or legal representatives, members, agents, employees and volunteers (together, “ASME”) for any damages or losses, including, without limitation, those relating to property damage, loss of income, injury, pain and suffering, incapacity, dismemberment or death incurred by you in connection with or resulting from your participation in the event.
Code of Conduct: All attendees must comply with ASME Society Policy 15.14, Code of Conduct.
Event Etiquette: As a courtesy to our speakers, please refrain from the use of pagers, mobile devices and side-bar conversations of any kind during presentations. In consideration of all attendees, we ask that attendees please take any conversations outside session rooms.
Accessibility: ASME provides ADA-compliant accommodations to people of all abilities. Contact the event organizer to discuss your individual needs.
3. Payment/Fees
Registration Fees: ALL event participants must register and pay the advertised fee as applicable. Individuals with incomplete registrations will not be able to attend the event until payment has been made. ASME accepts VISA, Mastercard, American Express and Discover. ACH/EFT and Wire Transfer are accepted for conferences only, provided payments are made at least 14 days before the start of a conference. Onsite registration for ASME events only accept cash and major credit cards. Payment confirmations and receipts are sent via email and included with your registration confirmation.Student Registration Fees: Student registration rates are only available to undergraduate and graduate students who are enrolled full-time and have not yet received their Ph.D. Post-docs may not register as students.
4. Conditions for Refunds/Cancellation or Program Changes:
Refunds/Cancellations: Requests for conference registration fee refunds must be received at least 30 days prior to the event and are subject to a $100 non-refundable administrative fee, this fee applies to refunds not substitutions. All registration fees are non-refundable if less than 30 days before the event. If a conference is cancelled, registrants will refunded the registration fee only. Any fees associated with cancellation of travel or housing reservations is the exclusive responsibility of Conference registrants. Cancellations and refund requests for local ASME Section activities must be made in writing by email to the section hosting the activity. Refund requests must be submitted no later than 3 days before the activity start date. A full refund will be issued, less optional contributions made to the section. No refunds will be granted otherwise. No shows will not be eligible for refunds. Refunds will not be granted for any contributions made to the section. Registrations are not transferable to other participants or activities. Approved refunds will be processed within 30 business days of receiving the request.Event Changes: Events are subject to change at any time, including speakers, sessions, topics, event dates, format, and location. ASME reserves the right to modify the event agenda at any time. If an event is cancelled, registrants will receive a full refund.
Substitutions: No registration substitutions are allowed.
