Guidelines for Submitting Abstracts

To maintain the quality technical standard of the IPC, there will be an increased emphasis on the review process to ensure that only the highest quality papers are accepted. Authors are advised that their abstracts should be approximately 300-400 words in length and must include full names, addresses, telephone and/or fax numbers, and email information of the author(s). In the case of multiple authors, please indicate one (1) primary contact. There will be a maximum of five (5) authors for any paper.

Abstracts/Papers of a commercial nature will not be accepted.

The official language of IPC 2018 is English. All presentations must be completed in English.

When considering to submit an abstract, please be advised that if an abstract is accepted (upon review), authors will be invited to submit a formal Draft Paper for a Technical Presentation or a Poster Session. The Technical Committee will perform critical review of each Abstract, Draft Paper, and Final Papers prior to acceptance. Authors are advised that submitting placeholders for abstracts or draft papers is less acceptable than in previous years. Draft Papers and Final Papers that do not meet the quality standards will not be accepted.

There will be a limit to the number of papers that can be accepted for formal presentations during IPC 2018. To accommodate as many papers as possible, please consider Poster format papers. Poster format papers allow authors to have more direct discussion with IPC delegates regarding their work. Papers presented as posters are eligible for publication by ASME provided that all other criteria are met.

Short papers (as defined by ASME Guidelines) will not be accepted for IPC 2018.

Commercial papers (as defined by the IPC Technical Committee and reviewers) will not be accepted for IPC 2018.

Review Criteria

Abstracts will be judged on their content emphasizing new knowledge or experiences/test results, including their technical merit and interest relative to IPC 2018. Authors must avoid commercial references within their abstracts and full-length papers.

Final Paper acceptance will be at the discretion of the Technical Committee.

Abstract Submission

Submit abstracts online to the Conference Web Tool.

The deadline for abstract submission is Friday, December 15, 2017.

When your abstract is submitted to the Conference Web Tool, you will be notified of your abstract confirmation number.

Schedule for Publication

If you are planning to submit an abstract for IPC 2018, please note the following scheduled deadlines:

  • December 15, 2017 – Deadline for Abstract Submission
  • February 12, 2018 – Author Notification of Abstract Acceptance
  • March 26, 2018 – Deadline for Submission of Full-Length Draft Paper for Review
  • April 30, 2018 – Paper Reviews Completed
  • May 7, 2018 – Initial Author Notification of Acceptance/Revision Requirements (please note: at this date and onwards, poster format candidates may also be identified if it is determined a technical paper is better suited for a poster format)
  • May 7, 2018 – Electronic Copyright Form Submission Process Opens
  • May 24, 2018 – Deadline for Submission of Revised Paper for Review (if required)
  • June 4, 2018 – Author Notification and Acceptance of Revised Paper
  • June 22, 2018 – Deadline for Submission of Copyright Form
  • June 25, 2018 – Deadline for Submission of Final Paper
  • July 9, 2018 – Author Registration Deadline (please note: Final Papers can only be confirmed once the presenting author is registered for IPC 2018)

The above deadlines are subject to change. Please refer to the Conference Website for confirmed dates.

Publication of Final Papers is subject to author(s) commitment to attend and present at IPC 2018 and will be at the discretion of the Technical Committee.

The Technical Committee reserves the right to require a pre-paid deposit prior to approving papers for IPC 2018.

*At the time of submitting a full-length Draft Paper, authors are advised to initiate the Travel VISA application process if required for travel to Canada to present an accepted Final Paper. We have experienced issues in the past where Travel VISAs were not received in time and paper were omitted or withdrawn as a result.*

Tutorials

Tutorials are intended to provide information to conference participants, which will further enhance their ability to enjoy the conference. Individuals interested in providing a tutorial for IPC 2018 are to contact the Technical Coordinator at info@ipcyyc.com.

Poster Sessions

Poster Sessions provide an opportunity for authors to present their paper in a different format than traditional oral presentations and will be held throughout the conference based on interest and space availability.

Please select Poster as your paper type when submitting your abstract.

Panel Sessions

Panel sessions will be organized based on interest and availability of panelists. If you have an idea for a panel session you would like to see, participate in or organize, please contact the Technical Coordinator at info@ipcyyc.com.

Student Paper Competition

Graduate and Undergraduate Students are invited to participate in the seventh Student Paper Competition to be held in conjunction with IPC. Details of the competition will be posted to the International Pipeline Conference Website.

Please select Student Paper as your paper type when submitting your abstract. No other action needs to be taken, if Student Paper is selected your paper will be entered into the competition.

A covering letter from your supervisor stating that you are a student in good standing may be requested.
