Category 1: Preliminary, Monthly and Final Reports
(Maximum Baseline Points = 50)
- PRELIMINARY REPORT 20 points total max
A typed Preliminary Report is to be postmarked by November 1. The report should include the following items as they pertain to your section; some sections may not fill in all items; some may have different ones. The schedule of events should not be detailed dates, but rather a qualitative list of activities that have already occurred and a planning list of activities that are expected to be carried out. a. Names, addresses, phone numbers, and e-mail addresses of officers, student section advisor, and department chair. b. Names of committee chairs (if any). c. Means of communicating with students, including home page address. d. Schedule of meetings. e. Schedule of tours. f. Schedule of social functions. g. Schedule of service activities. h. Schedule of upgrade activities. i. Schedule of recruiting activities. j. Schedule of interaction with senior section. k. Schedule of news articles. l. Goal(s) for coming year.
A late Preliminary Report will have its score reduced by 25% per week or part thereof (based upon the postmark). Failure to submit a Preliminary Report does not eliminate the student section from the competition, but it does preclude it from reaching the baseline (the only single point failure in the contest except for a late Final Report). Include a copy of the Preliminary Report in the Final Report.

- MONTHLY REPORTS (5 points per submission) 30 points baseline max
A Monthly Report (starting with the March report) should be postmarked by the fifteenth of the month following the month for which the report is made. The February Monthly Report should be attached to the Final Report. All Monthly Reports should include the following information (if performed) filled out on Supplement 1 (duplicate if necessary).
a. Date of meetings, subject. b. Date of tours, name of facility. c. Date of social functions, description. d. Date of news articles, number of pages. e. Date of service activities, description. f. Date of upgrade activities, description.
To earn points a Monthly Report must describe at least one activity. A late Monthly Report will have its score reduced by 20% per day (based upon the postmark). Failure to submit some Monthly Reports does not eliminate a student section from the competition, but six on-time reports are necessary to reach the baseline. Include a copy of all Monthly Reports in the Final Report. Student sections are encouraged to fill out the Supplement forms and to carefully keep track of News Articles on a monthly basis, so that all the information can be easily assembled at the end of the contest.
- FINAL REPORT
The Final Report must be sent to Nicole Alston or district designee, postmarked by March 15 or two weeks prior to the first day of the district's SPDC, whichever occurs first. A late final report carries a penalty of ten points/day based on the postmark. The points are subtracted from the baseline points earned. This required report should include a letter of transmittal, the completed Summary Report Form, the completed supplements, and appropriate documentation for Categories 1,5, 6, 9 and 10. The section is discouraged from adding information that does not bear directly on establishing the point count.
Note: A late Final Report carries a 10 point per day penalty.
