Workshop Checklist

First Steps

  • Determine the goals and objectives of the event*
  • Decide who should attend*
  • Outline an agenda and timeline for the event*
  • Set an approximate date*
  • Select the site of the event*
  • Decide how much you can/will spend

Next Steps

  • Make first announcement of meeting/event
  • Determine Professional Development Point (PDP) availability and procedures (professional development credits for teachers)*
  • Distribute flyers/brochures/invitations
  • Determine meal or refreshment needs
  • Determine required equipment (a/v, etc.) and make arrangements to borrow or rent
  • Finalize agenda and timelines

Just Before the Event

  • Prepare attendee list
  • Prepare lists of materials, supplies, and equipment to be taken to the event site
  • Prepare badges or name tags
  • Prepare thank you letters
  • Prepare all identifying signage for the event

At the Time of the Event

  • Complete registration set-up
  • Set-up identifying signage or posters
  • Final check on arrangements and facilities
  • Final check on special equipment
  • Re-confirm with event planning and facility staff the agenda
  • Distribute and collect evaluation forms

After the Event ...

  • Hold volunteer wrap-up meeting
  • Return borrowed or rented equipment
  • Follow-up press releases (view sample)
  • Send out thank you letters
  • Pay bills
  • Summarize evaluation forms 
  • Maintain contact with educators and key education contacts established through your workshop!

Timeline
Be sure to establish a timeline for all planning activities.  This should be shared with all support people for input and agreement that the timeframe is realistic.

Action Items
Depending upon how many individuals are coordinating their efforts to plan your workshop, an action item list, including who is responsible for what task, with due dates, can streamline planning and eliminate redundancy.  If internet access is an option, consider planning your workshop and posting action items and due dates on an internal website, so all involved can keep track of the progress of individual action items.
